Is your software needing an upgrade?

29 April 2026

Did your payroll software let you down this year-end? You don't have to wait until next April to do something about it.

Year-end is done. The submissions are in. And if your software made the last few weeks harder than they needed to be, you're probably already wondering whether it's time to make a change.

The most common assumption at this point is that switching payroll software has to wait until next April. But that's not the case, and waiting months with a system that isn't working almost always costs more than making the move now.

Mid-year switches are more common than you think

Experienced providers handle mid-year migrations routinely. With the right tooling and support, year-to-date figures can be brought across accurately, and your compliance history kept fully intact. The process is more manageable than most people expect — and the sooner you act, the sooner you stop losing time to a system that's holding you back.

What to look for when evaluating a new provider

Whether you're planning to switch now or in the coming months, there are four areas that separate a smooth transition from a painful one:

Data migration - Look for providers offering structured import processes, built-in validation tools, and direct imports. If switching mid-year, CSV import templates that handle year-to-date figures accurately are essential.

Parallel payroll runs - Running both systems simultaneously for at least one pay cycle lets you validate every calculation before fully committing. One important note: only one RTI submission should go to HMRC during this period, decide early which system that will come from.

Customer support - Features and pricing are easy to compare. Support quality is harder to assess until you actually need it. Ask the right questions upfront: What are your response times for urgent queries? Is support included in the base price? Can I speak to someone who understands payroll, not just the software?

Implementation - A poorly managed implementation causes missed deadlines and compliance issues. Look for providers with structured onboarding, dedicated consultants, and a realistic timeline built around your schedule.
