Quick Poll survey: Recording absences

In consideration of the fact that, in order to make a claim through the Coronavirus Statutory Sick Pay Rebate Scheme, employers must retain various records, including the reason why an employee could not attend work, the CIPP’s Policy and Research team wanted to see how this would affect the work of payroll professionals.

Not all payroll software contains the function to record the reason behind absence, so the Quick Poll question asks:

“How do you monitor reasons for SSP incapacity within your Payroll / HR system?”

We appreciate that those who work within payroll departments are consistently busy individuals and that the outbreak of coronavirus has placed additional pressure on them, so we would be extremely grateful if you could take a minute out of your busy schedule to answer the Quick Poll question.

HMRC has confirmed that, in addition to the reason as to why an employee could not work, in order to make a reclaim for Statutory Sick Pay, employers must also retain the:

  • National Insurance number for each employee they are claiming for
  • The start and end dates for the period of sick leave the employee could not work
  • Details of the qualifying dates in the period the employee could not work
